The Intake/Authorization Coordinator will primarily handle administrative tasks related to patient intake and insurance authorization but may be asked to support other operations as needed.
Responsibilities to include but not limited to: Authorization Coordination: · Review and process insurance authorization requests for clients. · Work closely with insurance providers to ensure that all necessary documentation is submitted and services are authorized in a timely manner. · Follow up with insurance companies regarding pending authorization requests, ensuring approval is obtained before therapy sessions begin. · Communicate with internal teams (e.g., BCBAs, therapists) to ensure authorization information is accurate and up-to-date. · Maintain accurate and up-to-date records of authorization statuses in the appropriate systems. · Notify families and the care team of any issues related to insurance authorization (e.g., denials, delays). Intake Coordination: · Oversee the intake process for new clients, which includes scheduling assessments and gathering necessary documentation. · Communicate with families to explain the intake process, insurance coverage, and next steps. · Collect and review necessary patient information (e.g., medical records, insurance details) to ensure proper authorization can be obtained. · Collaborate with clinical staff to ensure that any required assessments are scheduled in a timely manner. · Assist with onboarding new clients and ensure a smooth transition into therapy services. Collaboration and Communication: · Work closely with the leadership team to ensure clients’ needs are met in a timely and efficient manner. · Participate in regular team meetings to provide updates on authorization status and intake procedures. · Support the Operations team by helping to identify and resolve any obstacles or delays in the authorization or intake process. Client and Family Communication: · Serve as a primary point of contact for families regarding authorization issues and updates. · Ensure that families are informed about insurance requirements, the progress of authorizations, and any necessary documentation. Performance Feedback: · Regularly report progress and any challenges to the Leadership team. · Provide feedback on the intake process and suggest improvements based on client and family experiences. Education/Credentials/Experience:
High School diploma or GED
Strong organizational and communication skills (required)
Knowledge of ABA services and the therapies provided (required)
Familiarity with insurance processes and ABA authorization requirements (preferred)
Experience with Electronic Health Records (EHR) systems (preferred)
Exceptional attention to detail and ability to manage multiple tasks simultaneously (required)
Minimum 90% average score on monthly performance evaluations (required for internal hires)
Wage Range:
Full-Time, In Office: $24.00/hour
