Fleet Associate

The Fleet Associate is a dedicated in-office professional responsible for overseeing the daily operations of the Fleet Program and ensuring a seamless experience for team members.  This role manages vehicle documentation, coordinates maintenance, and supports drivers with tools within the e-Fleets mobile application.  Additionally, the Fleet Associate provides administrative support, assists with policy communication and compliance, and helps onboard new team members.  By maintaining organized processes and delivering excellent service, this position plays a key role in enhancing operational efficiency and supporting the company’s mission to serve employees, patients and the community.

Essential Job Functions:
  • Serve as primary liaison and maintain daily operations of the Fleet Program.
  • Maintain electronic databases of registration, inspections and maintenance of fleet management.
  • Preform vehicle registration and documentation regarding the introduction of new vehicles in the existing fleet.
  • Oversee routine and ad hoc maintenance, obtain tags for new vehicles, and renew old ones.
  • Maintain and monitor data management systems to organize fleets as per various schedules and requests.
  • Streamline and monitor fuel purchase system with assistance of Fuel Cards for all vehicles and drivers.
  • Process and track traffic and parking violations, toll bills and car claims.
  • Organize vehicle swaps, pick-ups and drop-offs at the office with drivers.
  • Evaluate the potential need and implementation for a driver safety program.
  • Perform Motor Vehicle checks for eligible drivers.
  • Regularly update all fleet program documentation in collaboration with your supervisor and clinical leadership, including the Company Car Agreement, insurance coverage, and training materials for the e-Fleets mobile application, among other relevant resources.
  • Train and empower Fleet Members to utilize the resources provided; monitor utilization of the e-Fleets mobile application on a weekly basis.
  • Provide excellent customer service in every encounter, in-person or via phone.
  • Be knowledgeable about the agency and our services to help all employees find the answers to their questions.
  • Conduct orientation and help new team members become comfortable with the organization.
  • Completion of all documents required by regulation, standards and policies are completed accurately while meeting deadlines.
  • Partner with management to communicate Human Resources policies, procedures, programs and laws.
  • Participate, as assigned, in conducting investigations when employee complaints are or concerns are brought forth, in addition to any other QAPI (Quality Assurance and Performance Improvement) initiatives assigned.
  • Assist, as assigned, with the implementation of company safety and health programs.
  • Maintain confidentiality of any protected health information of our patients and any private employee data.
  • Comply with all company policies and procedures.
  • Track and post required data/files reports for OSHA, EEOC, etc.
  • Local travel as needed to vendors and dealerships.
Requirements:
  • Experience managing, streamlining and maintaining a program
  • 1 year customer service experience
  • High school diploma, college degree preferred
  • Valid driver’s license
  • Experience directly related to feet management or vehicles preferred
Working Conditions:
  • Primarily indoor settings with a moderate noise level
  • This position may be required to work outdoors in varying weather conditions.  This includes:
    • Winter: Exposure to extremely cold temperatures, potentially below freezing, with icy and snowy conditions.  Employees should be prepared for prolonged periods in the cold.
    • Summer: Exposure to high temperatures, potentially exceeding 100 degrees Fahrenheit, with intense sun and heat.  Employees should be prepared for prolonged periods in the heat.
Physical Requirements:
  • Ability to regularly sit, stand, bend, kneel, walk, reach with hands and arms, talk and hear.
  • Ability to frequently use hands to finger handle or feel.
  • Ability to frequently lift and/or move up to 40 pounds.
  • Ability to use close vision, distance vision, color vision, peripheral vision, and depth perception.
  • Ability to adjust focus.

Compensation:
  • Full-Time: $21.00 to $23.00/hr
*Compensation dependent on experience.
